Engineering & Manufacturing Workflow Assessment (Setup)
The following is an outline of the "Engineering & Manufacturing Workflow Assessment" spreadsheet:
When launching the "Engineering & Manufacturing Workflow Assessment" spreadsheet, the following Excel Worksheet is displayed with the following worksheet tabs:
- The tabs included in the "Engineering & Manufacturing Workflow Assessment" spreadsheet includes the following:
- 0-Dashboard: This spreadsheet tab provides an overall "Enterprise Dashboard" and four dashboards that feed the Enterprise Dashboard that include:
- Sales Quote Dashboard
- Engineering / Sales Order Dashboard
- Job Order / Scheduling Dashboard
- Production Order / Data Collection Dashboard
Section 1: Employee Profile / Capacity
This section provides a foundation for establishing an "Engineering & Manufacturing Workflow Dashboard" that provides a tool for effectively identifying improvement areas with your company's engineering and manufacturing workflow process. To access the "Profile" worksheet, select the "1-Profile" tab:
1.01: Work Schedule Hours
The below chart allows you to define the number of shifts, hours per shift, days per week, and weeks per year with the departments that handle Quoting, Engineering Orders, Job Orders, and Shop Floor workflow tasks. Populate each of red cells to define the work schedule for each of these departments / areas.
The following four charts allow you define the various job titles for employees that are responsible for the Quoting, Engineering / Sales Order, Job Order, and Shop Floor processes. Fill in the red cells with the various positions / job titles that are utilized for each of the processes. Also enter the appropriate "Overhead Rate", "Count", and the "Time Percent" that is dedicated to each process for each Job Title:
1.02: Employee Profile (Quoting)
1.03: Employee Profile (Engineering)
1.04: Employee Profile (Job Orders / Scheduling)
1.05: Employee Profile (Shop Floor)
Section 2: Order Counts / Volumes
This section provides the capability to define how many Sales Quotes, Engineering / Sales Orders, Job Orders, and Production Orders are currently processed by your company Daily, Weekly, and Yearly. This includes the breakdown of the percentage of Simple Parts, Medium Parts, and Complex Parts are associated with each of the various Sales Quotes, Engineering / Sales Orders, Job Orders, and Production Orders. To access the "Volume" worksheet, select the "2-Volume" tab:
2.01: Quoting Volume
In this section enter the average number of sales quotes your company generates daily in the upper-left red cell. In the "Parts / Quote" cell enter the average number of parts per each sales quote. Enter the "Sales Quote Close Percentage", which is 20 percent in our example. On the lines labeled "Simple Parts", "Medium Parts", and "Complex Parts" lines enter the percentage of these three-part type with a typical sales quote followed by the "Minutes Per Part" they take to process in the remaining red cells:
2.02: Engineering / Sales Order Volume
This section is automatically driven by the number of Sales Quotes generated in Section 2.01, which is 25 Sales Quotes in our example. This number of 25 Sales Quotes is then multiplied by a Sales Quote Close Percentage of 20 percent which equals 5 closed sales quotes per week. With an average of 4 parts per Sales Quote and Engineering / Sales Order, that equals 20 Engineering / Sales Order parts per week that need to be processed. With a Percent Part Reorder percentage of 10 percent, the 20 parts per week are then reduced to 18, the chart below displays an average of 18 Engineering / Sales Orders processed on a daily basis. This is followed by Simple, Medium, and Complex Parts processed in 50.00, 75.00, and 122.50 minutes to process these parts respectively for an average of 72 minutes per part to process by the engineering staff:
2.03: Job Order / Scheduling Volume
In this section enter the average number of job orders your company generates on a daily basis in the upper-left red cell. In the "Parts / Order" cell enter the average number of parts per each job order. On the lines labeled "Simple Parts", "Medium Parts", and "Complex Parts" lines enter the percentage of these three-part type with a typical job order followed by the "Minutes Per Part" they take to process in the red cells:
2.04: Production Order / Data Collection Volume
In this section enter the average number of production orders your company processes on a daily basis in the upper-left red cell. In the "Parts / Order" cell enter the average number of parts per each production order. On the lines labeled "Simple Parts", "Medium Parts", and "Complex Parts" lines enter the percentage of these three part type with a typical production order followed by the "Minutes Per Part" they take to process in the red cells:
Section 3: Workflow Steps
The next step in setting up the "Engineering & Manufacturing Workflow Dashboard" is to define the workflow steps for a Sales Quote, Engineering Order, Job Order, and Production Order with your company. Once these steps are defined, enter the percentage of time that is consumed in with each step for SImple, Medium, and Complex Parts for each of the procedures in the below charts. To access the "Workflow Steps" worksheet, select the "3-Workflow-Steps" tab:
This section is comprised of “Quoting Steps”, “Engineering / Sales Order Steps”, “Job Order / Scheduling Steps”, and “Shop Floor / Data Collection Steps”. Within each of these sections / charts are four columns with red cells to define the workflow steps for each of the area in the first red column. In the next three red columns, enter the percentage of time for each workflow step consumed for "Simple", "Medium", and "Complex" Sales Quotes, Engineering / Sales Orders, Job Orders, and Production Orders respectively. Be sure the percentage totals of each column add up to 100 percent in the last row. These values will be utilized to determine the "Current State" of your company's various processes:
3.01: Quoting Steps
3.02: Engineering / Sales Order Steps
3.03: Job Order / Scheduling Steps
3.04: Shop Floor / Data Collection Steps
3.05: Applied Workflow Automation
In the "Applied Workflow Automation" section, the spreadsheet provides an area to enter the Applied Workflow Automation options that are specifically available to your company to improve a specific workflow process or group of workflow processes. The below chart lists the Workflow Automation solutions that are available and provided by Logic Design Corporation (LDC) to use in our example. The values entered below will appear in the drop-down menu in Section 0 (Dashboard).
